Returns
The submission of a bid to the Auctioneer is a clear and binding commitment by the Bidder’s to participation in the auction.
Returns are not accepted. The only possible exception to this rule is if the lot is not as described. The supplied scanned image forms part of the description of the item.
Please examine the image carefully. The submission of a bid is proof that you have read and understood our Terms and Conditions and that you have examined the lot and found it as described.
Please contact the Auctioneer before an auction if you have any questions about a lot or any aspect of the auction whatsoever. If requested, the Auctioneer will provide the Bidder with the Vendor’s contact details for further clatification.
Any dispute arising from this auction must be referred to the Auctioneer. If the Auctioneer cannot resolve the dispute it will be referred to the SACS Committee who will respond in due course.
Vendors
SACS members are eligible to sell material in the Auction subject to meeting the Auctioneer’s and the Webmaster’s requirements.
While scanned images of material to be sold can be prepared in advance by the Vendor, these must not be submitted to the Webmaster until after the Auctioneer’s final auction description list has been completed and the relevant Auction Lot Numbers confirmed.
The first requirement incumbent on Vendors who want to submit material for auction is the submission of a full and proper numbered description of the individual items to be sold in the Auction. This will include both Reserve and Estimated Prices.
If Estimated Prices are not supplied they will be calculated at 1/3rd to 50% above the supplied Reserve Price. While Estimated Prices are not entirely necessary for every lot, we include them in order to maintain a consistent format for the auction layout.
The Auctioneer has the right to choose whether to use all or just some of the Vendor’s supplied description list of items for sale within the auction.
The Auctioneer will produce an auction description list. This may combine selected items from various Vendor’s description lists under different categories. In producing this list the Auctioneer will assign Lot numbers to the items selected for sale in the auction.
The Auctioneer will advise the Vendor of the items selected for sale in the auction, most specifically the Lot Numbers assigned to the Vendor’s items. The Vendor will save scanned images of their Lots using the prescribed file naming convention below.
Each scanned image will be saved as a 300 dpi JPG file. These can be emailed to the the Webmaster or posted on a stick which will be returned on request. Scans must be listed sequentially in the order described by the Auctioneer.
Scans must be supplied in a specific format that includes the Auctioneer’s Lot number, ie. the file names of the scans must conform to the following convention.
AUCxxLot1.jpg, where:
AUCxx is the relevant Auction number, say AUC 60,
‘LOT1’ is the Auctioneer’s assigned Lot number,
.jpg is the only file type accepted.
Where a lot has more than one scan, (for example, the front and back of a stamp), add ‘a’ after the Lot number for a second scan and ‘b’ after the Lot number for a third.
AUCxxJAN25Lot1a.jpg – where there are two scans
AUCxxJAN25Lot1b.jpg – where ther are three scans, etcd. etc.
No more than three scans will be aaccepted per Lot, the ideal being one.
Scans supplied without the proper naming convention will NOT be accepted.
PDF files and other file types will NOT be accepted.
Scans and photos of the lots will only be accepted if they are properly lit, cropped to remove the background and their aspect ratio is not distorted. Scans are preferred. The Webmaster has the right to reject unsuitable scans.
The Webmaster’s only responsibility is for placing the Auctioneer’s description and the scans supplied by the Vendors on the website in the Auction that is being prepared.
The Webmaster takes LOT instructions from the Auctioneer only, NEVER from the Vendor.
Lots are NOT to be sent to the Auctioneer. Vendors will retain all the lots in their possession. The Vendor will be responsible for postage and dispatch to the buyer.
The Auctioneer will contact the Vendor after the auction and advise of any sales and the value thereof and provide the Vendor with the winning bidders’ contact address details for the purpose of arranging postage.
Postage and Posting
This is to be agreed and completed between the Auctioneer, the Vendor and the Buyer.
On completion of an Auction, the Auctioneer will advise the Vendor of the winning Buyer’s contact details. The Vendor will discuss with the Buyer the method of postage required.
There are two possible postage scenarios:
1]. Buying one or more items from a single Vendor.
The Buyer chooses the type of postage and pays the rate for it.
2]. Buying items from multiple Vendors.
The Buyer chooses the type of postage.
Each Vendor calculates the rate for the items they are providing.
The Buyer pays for the most expensive parcel only.
All parcels from the other Vendors are sent without charge.
When buying from multiple Vendors, the Buyer only pays postage on the item with the most postage to pay. Items from other Vendors will be included in this postage cost. The Auctioneer will advise Vendors of the ‘free’ cost of postage on such items.
Once the Vendor has a cost for the Buyer’s preferred method of postage, the Vendor will immediately communicate the cost of postage to the Auctioneer who will add this to the invoice which will be sent to the Buyer for the purpose of faciltating payment.
Vendors are instructed to only dispatch the winning bids once the Auctioneer confirms that full payment has been made.
The Vendor will be paid after receipt of the winning bidder’s full payment, the dispatch of sold lots to them and the deduction of a 10% commission to SACS by the Auctioneer.
Countries excluded from the Auction
Countries we post to include UK, Ireland, Europe, USA & Canada, Australia, New Zealand, India and Japan.
If you live outside one of these countries, please contact us before you bid to check if we can post to you. We reserve the right to not post to countries that we believe represent an unacceptable risk to the safety of our members’ philatelic material.
Deliveries to South Africa
We are unable to mail items to South Africa with any certainty that they will be speedily and efficiently delivered, if at all. While SA continues to have no reliable postal service, it is difficult for SACS to include SA members in its auction.
At present, most South African buyers have arranged for their purchases to be delivered to a UK contact address. This provides the SACS vendor with the simplest postal solution.
Another solution is to courier material to SA buyers, however this is an expensive option for small purchases. If you live in SA and can suggest how we can deliver to you, please contact us.
I have read this and understand. I want to go to the Auction now.
